Halyard Privacy Policy

Last updated: [EFFECTIVE DATE]

Halyard is operated by [LEGAL ENTITY] ("Halyard," "we," "us"). This policy explains what information we collect, why we collect it, and what we do with it.

We handle two different kinds of information, under two different sets of rules. Read the section that applies to you.

1. If you are visiting this site or talking to us about becoming a client

We collect what you give us and a small amount of technical data.

What we collect

  • Contact details you submit: name, business name, email address, phone number, and anything you write in a form or say on a discovery call.

  • Scheduling information when you book a call, collected through our scheduling provider.

  • Basic technical data: IP address, browser type, pages viewed, and referring source. We use this to understand which channels bring qualified inquiries.

Why we collect it

To respond to you, to run the discovery call, to send you a proposal, and to follow up if you asked us to. We do not sell this information and we do not share it with advertisers.

Cookies

This site uses functional cookies required for the site to work and analytics cookies that measure traffic. You can block cookies in your browser. The site works without them.

2. If you called or messaged a business that uses Halyard

Halyard answers calls, texts, and web form submissions for the business you contacted. In that situation, the business is responsible for your information and decides how it is used. We handle it on their instructions, as their service provider. If you want your information corrected or deleted, contact the business directly. You can also contact us at [privacy@halyardai.com] and we will pass the request to them.

What we collect during a call, text, or form submission

  • Your name, phone number, and service address or town.

  • What you told us about the job: the issue, the equipment, the urgency, the property type.

  • The appointment that was booked, and any confirmations or reminders sent to you.

  • A recording and a written transcript of the call.

Recording and automated response

Calls handled by Halyard are answered by an automated system and are recorded. You are told both of these things at the start of the call, before anything is recorded. If you do not want to be recorded, you can say so and the call will be transferred or ended without a recording being kept.

[LEGAL REVIEW: Massachusetts requires the consent of every party to a recorded call. The disclosure has to be delivered before any audio is captured, on every call, including callbacks and after-hours calls. Confirm the disclosure fires as the first utterance on every path through the agent, including transfers and voicemail, and keep an auditable record that it did. Same disclosure logic applies to any other all-party consent state you expand into: CA, CT, FL, IL, MD, NH, PA, WA and others.]

Text messages

If we text you, it is because you contacted the business, submitted a form, or asked for a callback. Reply STOP to any message to stop receiving them. Reply HELP for assistance. Message and data rates may apply. Message frequency varies. We do not send marketing texts on behalf of businesses to people who did not contact them first.

3. How information is used

We use the information described above to:

  • Answer, qualify, and book inbound inquiries for our clients.

  • Send appointment confirmations, reminders, and follow-up messages.

  • Write bookings into the client's scheduling software.

  • Produce the monthly performance report the client receives.

  • Monitor call quality and correct errors in how the system handles specific situations.

We do not sell personal information. We do not share it for cross-context behavioral advertising. We do not use the contents of client calls to train publicly available AI models.

4. Who we share information with

We use third-party providers to deliver the service. Each one receives only what it needs to perform its function, and each is bound by contract to use it for no other purpose.

[Confirm this list matches your live stack before publishing. Every provider named here is a claim a prospect's IT person can check, and every provider missing here is a gap if you are ever asked for a subprocessor list. Keep the list current: it is the first thing a larger operator's counsel will ask for.]

We also share information when the law requires it, and if the business is ever sold or transferred, as part of that transaction.

5. Automated processing

Halyard uses AI to answer calls, interpret what a caller needs, and decide whether an inquiry fits the client's service area, job types, and schedule. That is an automated decision about whether an appointment gets booked. Anything the system cannot confidently qualify is flagged and held for a person at the business to review rather than being rejected outright. No decision Halyard makes has legal consequences for a caller: the worst case is that a person calls you back instead of the system booking on the spot.

6. How long we keep information

  • Call recordings and transcripts: [12 months], then deleted.

  • Lead and booking records: for as long as the client is active, plus [90 days] after the engagement ends.

  • Prospect and marketing contacts: until you ask us to remove you.

Clients can request a shorter retention period, and we will honor it.

7. Security

Data is encrypted in transit and at rest. Access is limited to people who need it to run the service, which today means a small number of named individuals. Client platforms are connected using scoped credentials that can be revoked at any time by the client. No system is perfectly secure, and we will notify affected clients without undue delay if a breach affects their data.

8. Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, or opt out of its sale or sharing. We do not sell or share personal information, so there is nothing to opt out of on that front. To exercise any other right, email [privacy@halyardai.com]. We will verify your identity before acting and respond within the time the law requires.

If your information came to us through a business that uses Halyard, we will forward your request to that business, since they control the data.

9. Children

Halyard is a service sold to businesses and is not directed at children. We do not knowingly collect information from anyone under 16.

10. Changes

If we change this policy, we will update the date at the top. Material changes affecting clients will be sent by email.
